Employee Leave Requests

This page is used to view, edit, approve, and reject leave requests of employees. The Employee Leave Requests page lists the leave requests of employees authorized by the user.

💡
To create a Leave Request record for an employee, go to Employee Information > Leaves.

Employee Leave Requests Screen

Filtering and Search Options

  • Status Filters: Pending approval, approved, rejected, and all requests buttons.
    • Pending Approval: Shows leave requests waiting for approval.
    • Approved: Shows approved leave requests.
    • Rejected: Shows rejected leave requests.
    • All Requests: Shows all leave requests.
  • Date Range Selection: Date range selection filter at the top right of the table.
    • You can view leave requests for "This Year, This Month, This Week" using these options.
    • Use the Custom Filter option to select a specific date range.
  • Search in List: Allows filtering based on a specific keyword in any column of the listed table.
  • Column Filters: Search fields under each column header. Filters the respective column based on the entered text or numbers.

Employee Leave Requests Table

Default Image
  • Employee Name: Name of the employee who requested leave.
  • Leave Type: Type of leave requested.
    • Leave Types: Paternity Leave, External Assignment, Maternity Leave, Maternity Leave (Unpaid), Disabled Child Treatment Leave, Adoption Leave, Marriage Leave, Sick Leave (Unpaid), Bereavement Leave, Periodic Control Leave, Paid Administrative Leave, Unpaid Leave, Annual Paid Leave, Travel Leave (Unpaid).
  • Start Date: Start date of the requested leave.
  • End Date: End date of the requested leave.
  • Duration: Total leave duration.
  • Description: Reason for the leave request.
  • Request Date: Date the leave request was made.
  • Status: Status of the leave request (Pending approval, approved, rejected, conflict).
  • Actions: Icons and action menu for editing, deleting, printing, rejecting, approving, viewing status history, and viewing conflicting leaves.
💡
To view the total leave usage for a specific date range and employee group, go to Reports > Leave List.
Leave Requests with a status of Pending Approval will be notified to the relevant Request Approval Assignments as Leave Request Notification according to your Company settings.

Editing - Deleting Employee Leave Requests

Follow these steps to edit the details of an Employee Leave Request, change its status, or delete it.

To Edit an Employee Leave Request:

  • Click the Action Menu at the end of the relevant leave request record row and select Edit .
  • The screen showing the details of the leave request will open. Information such as Status, Leave Type, Start Date, End Date, and Description can be edited on this screen.
  • After making the edits, click the Save button to save the changes.

To Delete an Employee Leave Request:

  • Click the Action Menu at the end of the relevant leave request record row.
  • Select Delete.
  • In the pop-up window, click the Delete Request button to delete the record.
Only requests with a status of "Pending Approval" can be deleted. If the request you want to delete is not in the "Pending Approval" status, first edit the record to change the status to "Pending Approval." You can only do this from the Employee Leaves screen.

Approving, Rejecting Employee Leave Requests

Follow these steps to easily approve and reject an Employee Leave Request.

  • Click the Action Menu at the end of the relevant leave request record row.
  • In the pop-up menu, select the action you want to perform.
    • To approve, click Approve. In the pop-up window, click the Approve Request button.
    • To reject, click Reject. In the pop-up window, enter the Reason for Rejection and click the Reject Request button.
Approval and Rejection actions will be notified to the requesting employee according to your Company Notification Settings. You can view these notifications on the Message Archive page.

Viewing Conflicting Leaves

The Employee Conflicting Leaves Viewing function allows you to easily detect conflicts in the requested leave dates.

Employee Leave Conflict Detection: If the date or date range of any leave request record overlaps with another leave request record, the system will automatically detect this and add a Conflict note to the Status box in the list.

The conflict status is only valid for employees in the same position.

Follow these steps to view the relevant employees and dates for conflict status:

  • Click the View Leave Relationships icon at the end of the leave request record row with a conflict status.
  • In the pop-up window, the information of the employee and leave date will be displayed.
  • Additionally, at the bottom, a list of employees detected with conflicts and the date and status information of their leave requests will be displayed as a weekly date table.
💡
To list only leave requests with a Conflict status, you can use the Column Filter by typing "Conflict" in the Status column filter.

Viewing Employee Leave Request Status History

Follow these steps to view the Status History of an Employee Leave Request.

This function allows you to view all status changes made to the Employee Leave Request record, and to see who made the changes and the date of the changes.

  • Click the Action Menu at the end of the relevant leave request record row.
  • Select Status History in the pop-up menu.
  • In the pop-up window, a list of action records including Action Performed, Action Date, Status will be displayed.
Only Status changes are listed in the Status History table. Changes made to other information in the Leave Request are not displayed.

Printing Employee Daily Leave Form

Follow these steps to print the Daily Leave Form, which includes the date information, employee information, total leave days, leave type, requester and approver information for the Leave Request.

  • Click the Print icon at the end of the relevant leave request record row.
  • The Daily Leave Form print preview containing the information of the Leave Request will open.
  • To print, click the Print icon and send the document to the printer.

Exporting Employee Leave Requests Table to Excel

Use the Export to Excel function to save the Leave Requests Table displayed on the page to your computer in excel format. Follow these steps:

  • List the Leave Requests Table in the way you want to export the information to excel.
  • Click the Export to Excel button.
