Personnel Leave Management

The Personnel Leave Management screen is an interface used to manage employees' annual leave and other leave type requests. Through this screen, you can create, edit, view existing leave requests, and delete them.

Personnel Leave Management Screen

  • Tracks the leave records of personnel.
  • Includes leave types and durations such as annual leave and daily leave.
  • Provides information on Remaining Annual Leave Days.
  • Allows for adding, updating, and deleting leave records.

Remaining Annual Leave Days

The employee's annual leave status is displayed in the upper right corner of the screen:

  • Remaining Annual Leave Days: The number of remaining annual leave days for the employee (e.g., 3 / 14 days).

Personnel Leave List

This section lists all leave requests of the employee. The list includes the following information:

  • Request Date: The date and time the leave request was made.
  • Start Date: The date the leave will start.
  • Duration: The total duration of the leave (in days).
  • End Date: The date the leave will end.
  • Status: The status of the leave request (Pending Approval, Approved, Rejected).
  • Actions: Actions to be taken on the leave request. (Edit, Status History, View Conflict, Delete)

Leave Type: The reason for the employee's leave for a certain period and the categorized types of leave according to this period. Leave types include:

  • Paternity Leave: Leave given to new fathers.
  • External Duty: When the employee is temporarily assigned to a different location for work purposes.
  • Maternity Leave: Leave given to female employees before and after childbirth.
  • Maternity Leave (Unpaid): Unpaid leave that female employees can request after childbirth.
  • Disabled Child Care Leave: Leave given to employees with disabled children for their care.
  • Adoption Leave: Leave given to employees who adopt a child.
  • Marriage Leave: Leave given to employees for their wedding.
  • Sick Leave (Unpaid): Unpaid leave that employees can request when they are sick.
  • Bereavement Leave: Leave given to employees in case of the death of a close relative.
  • Periodic Check-Up Leave: Leave given to employees for regular health check-ups.
  • Paid Administrative Leave: Paid administrative leave given by the management.
  • Unpaid Leave: Unpaid leave requested by employees for personal reasons.
  • Annual Paid Leave: Paid leave taken from the employees' annual leave entitlement.
  • Travel Leave (Unpaid): Unpaid leave given to employees before or after travel.

Accessing the Personnel Leave Management Page

From the Personnel List screen, click the icon at the end of the row of the personnel whose leave records you want to manage, and select "Leaves" from the Action Menu that opens.

On the Personnel Leave Management screen, the operations of adding, editing, and deleting records are as follows:

Adding a Leave Record for Selected Personnel

  • Click the + Add New Record button.
  • Enter the Status (Pending Approval, Approved, Rejected), Leave Type, Start Date, End Date, Duration, and Description information.
  • Click the Save button.

The Leave Type is an important criterion in payroll and salary calculations. Make sure to select the correct leave type.

The leave duration includes the End Date. For a daily leave, the start and end date should be the same.
When the status is selected as Pending Approval, an Leave Request Notification will be sent to the relevant Request Approval Assignment authorities according to your company settings.

Viewing Conflicting Leaves

The Personnel Conflicting Leaves Viewing function allows you to easily identify any conflicts in the requested leave dates.

Personnel Leave Conflict Detection: If the date or date range of any leave request record is the same as another leave request record, the system will automatically detect this and add a Conflict note in the Status box within the list.

The conflict status is only valid for personnel in the same position.

To view the relevant personnel and dates of a conflict situation, follow these steps:

  • Click the View Leave Relations icon at the end of the row of the leave request record with the conflict status.
  • In the window that opens, the personnel and leave date information to which the leave request belongs will be displayed.
  • Additionally, at the bottom, a list of personnel with detected conflicts and the date and status information of their leave requests will be displayed as a date table covering the relevant week.

Editing a Leave Record for Selected Personnel

Click the Edit button at the end of the row of the record you want to update, make the necessary changes, and click the Save button to update.

Deleting a Leave Record for Selected Personnel

Click the Delete button at the end of the row of the record you want to delete to permanently remove the selected record from the system.

Only requests with the status "Pending Approval" can be deleted. If the request you want to delete is not in the "Pending Approval" status, first edit the relevant record and change the status to "Pending Approval".
